You have reached the article dedicated to editing and managing subtitles in your Nudgis media. In these lines, you will learn how to add, control and edit your subtitles to give your audience instant access to the transcription of your presentation.
The Nudgis media player lets you integrate subtitles automatically extracted from your video, and control them from the playback bar. Viewers can set a number of automations, and select the language of their choice for this feature, as described in the article "The Nudgis Dynamic Rich Media player". But if you are a contributor, and have editing rights on your media, you can add and manage subtitle files from the editing menu. Let's find out how this option works.

GENERATE SUBTITLES
First, access your media's editing menu, and select the "Subtitles" tab. A player with all the features of the original is available, allowing you to check the accuracy of the automatically transcribed text in real playback conditions. You will also find the origin of the media if it has been trimmed :
But the most important feature is, of course, subtitle generation. If no transcription is available for your media, click on "Start automatic transcription". This will open a window enabling you to launch an automated task of deciphering the audio and transcribing the result as a subtitle file :
In most cases, a transcription will be launched automatically when the media is created, and a file will already be present at the time of editing. It will therefore not be possible to launch a new transcription. This option for systematic subtitle creation can be configured by your administration team
The settings window appears, where you can choose the language spoken in the presentation, and therefore the language from which the transcription task will be launched. You can also activate an option to send a message to the speaker's mailbox to let him know when the task is completed, and that the subtitles are ready for use. Once you have made your settings, click on "Generate". A file appears in the previously blank "Subtitle list", with several information/action columns. The "Status" column shows you the progress of the task.
The longer your video, the longer the task will take
Once the file is ready for use, the status changes to "File done".
You can also attach a file manually from your workstation, using the "Add a subtitle by sending a file" button
Once the subtitle file has been created, you can check, modify and translate it.
SUBTITLE MANAGEMENT AND TRANSLATION
When the file is available, it offers you several options for modifying it at will.
You can view the transcript title, and change it if necessary, by clicking on the pencil icon. By default, the title of an automatic transcript will be "Automatic", when the title of a manually added transcript will be the date and time it was added. You can also view the original language, the add date, and make subtitles available to your viewers by clicking on the eye icon. The crossed-out icon means that subtitles are not visible; the uncrossed eye means that they are.
Hover over an icon to display a tooltip explaining its function.
Finally, four "Actions" are available for the file:
- Edit
- Translate
- Download
- Delete
The download offers two formats: raw subtitle file, or conversion to text for correction.
The latter is also possible thanks to the editing function, which opens a window displaying the subtitles as editable text, along with the timecode at which they are broadcast :
Click on a section to modify its text. The modified section is highlighted in blue, and the playback bar moves to the relevant time code :
You can change all the text in the file if you wish, and edit the related time codes. Be careful, however, to keep the time codes consistent. Although this operation is performed each time you save a file, you can click on "Check content" to ensure that no time codes overlap. If they do, the relevant section will turn yellow. In the example below, the time code at the end of segment 3 far exceeds that at the start of segment 4. Hovering over the yellow section will reveal the origin of the error :
The color code can also change to red if you have made a syntax error in your modifications. In the example below, the line spacing between sentences is incorrect. As with temporal modifications, hovering over the section in red will explain the origin of the error :
You can also export your file for external use. If in doubt, consult the Help, which will open a window explaining all the functions and controls for editing subtitle files in Nudgis :
You can check the synchronisation and rendering of your modified subtitles at any time using the on-board player :
Remember to activate subtitles in the player
Once you have made your changes and settings, click Save.
Your file is now ready for translation into one of the available languages. Click on the icon to open a window allowing you to launch the operation :
The number of languages available is defined by UbiCast when this paid option is activated. Additional languages will be billed separately
Select the language into which the subtitle file is to be translated. In this case, we will choose French. You can also activate the option enabling you, as the contributor, to be notified by email when the translation task has been completed.
Once the job has started, a loading logo will appear, after which the translated file will be created :
The translation will appear below the original file, and will undergo a translation and transfer period (displayed in the "Status" column) before becoming fully available, with the same information and editing options as the original :
You can then check and correct the translation if necessary, and validate the rendering with the on-board player.
Now that your original subtitle file and translations are ready, all you have to do is make them available to your users. To do this, click on the eye icon in the "Visible" column, and repeat for each translation. The subtitles in all the selected languages are now available to viewers of your video :
You have now finished adding subtitles to your video, and know how to use this feature perfectly. What's more, it is possible to fully automate this task, without the speaker having to create the necessary files, but simply correcting them if necessary, and publishing them. We will look at this in the next chapter, dedicated to subtitle management by administrators.
SUBTITLE ADMINISTRATION AND PERMISSIONS
This chapter is primarily intended for administrators, as actions concerning permissions are their responsibility.
First of all, you need to give your users the right permissions. Check that contributors have access to subtitle management for the media in their personal channel, by accessing their rights and permissions page. To do this, click on "Menu" at the top left of the page, then on "Administration". In the section, click on "User and groups management", then select a user. Click on the key icon to access the user's permissions page :
This will open the permissions page for the chosen user, where you can change the "Edit media subtitles" setting to Yes in the "Personal channel permissions" section :
The right to manage subtitles in the personal channel is the default permission granted when a user is created
Then, if you wish to give your user access to the same rights on other channels/media, go further down the page, to the permissions tree, and choose the media/channel you want to modify :

Once in the editing window, change the "Subtitles" permission to Yes, then save your changes :
Access to subtitle management is now granted to the user :
Note that subtitle access is also granted for subchannels and their media, unless specifically restricted by the administrator. To understand how rights and permissions are managed in Nudgis, please consult the article "Managing permissions".
But it would be tedious to grant subtitle management rights on a user-by-user basis. This is why access can also be granted at group level, as described above.
Finally, it should be noted that full automation of the subtitling process is possible when any media is created or uploaded to the site. To do this, go to the "Administration" panel, "Site settings" section, "Media and channels default settings" option, "Subtitles" tab :
You will find here find the options you need for general subtitle management, such as automatically launching a transcript for each new media item, triggering automatic translation into the desired languages, the possibility of requesting manual correction of automatic transcripts (paid credit), and features allowing you to authorise or disallow your users to launch transcripts/corrections. Finally, you can enter a list of e-mail addresses to be notified when subtitles are created.
