Welcome to this article, which details the media publication options on your Nudgis portal. When you add a video, you have the option to publish it so that it is visible to its intended audience, or keep it unpublished, meaning only the media editors and administrators will be able to access it. Added to this is the 'Unlisted' status, which makes the media accessible only via a sharing link. We will clarify these concepts, their interactions, and explore how to apply them in Nudgis.

DEFINITIONS
First of all, it is important to clearly define what we mean by publishing and 'Unlisted' status for media, as this directly impacts viewer access.
Publication refers to the media's visibility status. A published video can be viewed by all users who have access permissions. As long as the video is not published, only its editors and platform administrators can access and view it on the portal. The media is then in 'Draft' mode.
You can easily identify which videos are published or unpublished in your video list. When a media item is 'Unpublished', a padlock icon appears in the top-left corner of the thumbnail:
You can choose to publish it by going to the media edit page, 'Settings' tab, clicking 'Published', and saving:

Once the video is published, viewer access permissions apply: the media is considered ready. The 'Unpublished' status therefore allows you to work on the media before presenting it to the public.
The 'Unlisted' status serves a different purpose: it makes published media invisible to search and navigation.
This prevents viewers from finding the media on the platform, except via a sharing link. This can be used for direct sharing with a group of users, or for embedding a public-access video on a third-party site, for example.
This status can only take effect on published media
There are therefore three possible publication statuses: Unpublished, Published but Unlisted, and Published.
USAGE
The first encounter with the publication choice occurs when uploading a video. Indeed, while there are several ways to add media to the portal, most methods will offer you the choice to have the video in the destination channel in Published or Not published. This is represented by the 'Import as draft' checkbox, which allows you to add the video with an 'Unpublished' status. Note that enabling/disabling this option triggers a message summarizing the user group permissions for the posted video.

Note that in the case of Webstudio, the video is posted to the contributor's personal channel or the site's default channel. In this case, the publication status is dictated by the channel settings. By default, channels are set to leave added media in the 'Unpublished' status. Details of this operation are covered in the Administration chapter.
Once the choice is made, it can be modified at any time from the posted video's edit page. On the other hand, the 'Unlisted' status can only be triggered manually from the 'Permissions' tab in the media edit page:

If your media is 'Unlisted', it is only accessible to viewers via direct sharing links. You can find these links in the 'Settings' tab, 'Links to this media' section:

ADMINISTRATION
Of course, the publication status and 'Listed/Unlisted' status are inherently subject to change. It is possible to automate behavior upon upload and status changes.
First, in the Video Edit mode Settings, 'Publishing Settings' section. As we have seen, this is where you can enable or disable publication. But it is also possible to schedule the publication and unpublication of the video for specific dates:
It is also possible for channel administrators to act on media behavior upon upload, and define the initial publication status. To do this, go into the edit page of the channel you administer and go to the 'Default settings' tab. The 'Publishing' sub-tab allows you to enable several options upon media upload:
It is possible to define whether incoming media are automatically published or not, to apply the 'Auto-publish' value to moved media, to automatically apply the 'Listed' or 'Unlisted' status to uploaded media, and to apply the chosen value to all moved media.
Default values are indicated next to each field, along with a link redirecting to the site's default setting for this value (if you are an administrator). In fact, it is possible to change the behaviour for the entire site using the same template by going to Administration->Media and Channels Default Settings->Publishing:
Finally, we notice that several parameters have an 'Apply recursively' button. When you use it, you apply the parameter to which it is linked to all videos already present on the channel. This means that, in the example where you set the 'Auto-publish' parameter to 'Yes', the setting will allow any new media entering the channel to be published automatically. But the setting will not apply to videos present on the channel before the parameter change. For that, you must use 'Apply recursively'.
The settings shown in this chapter concern video-on-demand, but are also applicable to channels, live streams, and any other type of media integrated by Nudgis
VERSION 14.1.0 and above
This version introduces a simplification of the possible combinations between publication and 'Unlisted' status, also making the latter available upon upload:
Three statuses are possible:
- Draft: the media is added as 'Unpublished' and 'Unlisted'
- Private: the media is added as 'Published' and 'Unlisted'
- Published: the media is added as 'Published' and 'Listed'
It is now possible to easily control the complete media publication status from the moment it is uploaded to the platform. But changes have also been made to the interface to easily manage publication from your media list:
The quick edit menu allows you to change a media's publication status quickly, by choosing between Draft, Private, or Published:
A fourth option is available, Unchanged, in which it is possible to schedule a change of publication status for a later date. These scheduling options are available in all four tabs.
You can also change the publication status in bulk, by selecting several media items, then clicking on 'Edit field', followed by 'Publication state':
This opens a menu similar to the one described above, but applying the options to all selected media:
This simplification of publication statuses allows you to easily and quickly manage the visibility of your media, and allows for an immediate reading of each applied status. It is still possible to access the two options 'Published' and 'Unlisted' separately in media editing. For easier management, they have been brought together in the 'Settings', 'Publishing Settings' section:
